Parcel Packing Guidelines
Pack your parcels correctly for India Post and Speed Post to reduce damage, delays and “Return to Sender” problems. Follow these simple but important guidelines.
Why Proper Packing Matters
Once your parcel enters the postal network, it may pass through multiple sorting centers, conveyer belts, sacks and transport vehicles. Proper packing protects your items from normal handling shocks and reduces the chance of damage, leakage or loss of contents.
These guidelines are general good practices. Always follow any additional packing rules and restrictions specified by India Post for particular item types.
1. Choose the Right Packing Material
Select packing material based on what you are sending:
- Documents / papers: Thick envelope, document mailer or rigid cardboard envelope.
- Small items / accessories: Bubble mailer or small box with filling material.
- Electronics / fragile items: Sturdy corrugated box with ample cushioning on all sides.
- Clothes / soft items: Poly mailer or cloth bag + outer cover, securely taped.
Avoid using thin, low-quality cartons that can easily crush, tear or open during transit.
2. Use Proper Cushioning Inside the Parcel
Fragile or delicate items should never be packed loose inside the box. Use adequate internal protection:
- Bubble wrap around individual items.
- Thermocol sheets, foam, air pillows or crumpled paper to fill empty spaces.
- Double-boxing for very fragile goods (small box inside a larger padded box).
- Keep items from touching the sides of the box directly.
Shake the packed box gently – if you hear items moving, add more cushioning until movement stops.
3. Seal the Parcel Properly
A strong seal prevents accidental opening during sorting and transport:
- Use good-quality packing tape (brown or transparent), not cellophane/office tape.
- Seal all opening flaps – top, bottom and sides – with tape.
- For heavy parcels, use the “H-taping” method on the top and bottom of the box.
- Avoid using only string / rope without tape, as it can loosen or break.
Do not over-tape directly on important labels or barcodes; leave those areas clearly visible.
4. Write Address & Pincode Clearly
Many delays and “Return to Sender” cases are due to poor addressing. Make sure your parcel shows:
- Complete receiver address with house number, street, locality, city, state and pincode.
- Correct pincode – verify it using our Pincode Search Tool .
- Receiver mobile number clearly written.
- Sender address and mobile number in the “From” section.
Use a dark pen or printed label. Avoid light ink or handwriting that can smudge or fade.
5. Put an Address Slip Inside the Parcel
As a safety backup, it’s a good idea to place a small address card inside the parcel:
- Write both sender and receiver details with mobile numbers.
- Keep this card on top of the packed contents inside the box.
- If the outer address label gets damaged, postal staff can still identify ownership.
This simple step greatly increases the chance of correct handling if the outer packaging is torn or spoiled.
6. Special Guidelines for Fragile or Sensitive Items
For fragile, valuable or sensitive items:
- Use double-layer packing with extra cushioning.
- Mark the parcel with a clear “FRAGILE” or “HANDLE WITH CARE” label (though this does not guarantee special handling everywhere).
- Avoid sending glass items, liquids or easily breakable merchandise unless specifically allowed under postal rules and packed extremely well.
- Consider insurance if the item value is high.
Always check India Post’s list of prohibited and restricted items before booking your parcel.
7. Keep an Eye on Weight & Size
Overweight or over-sized parcels may attract higher charges or even be refused:
- Weigh the parcel on a digital scale before visiting the post office.
- Do not exceed maximum weight limits for the chosen service (Speed Post, parcel post, etc.).
- Avoid using boxes that are extremely large compared to the contents – this can increase both risk and cost.

8. Do Not Pack Prohibited or Dangerous Items
Some items are not allowed through postal channels at all, or only under special conditions. These may include:
- Explosives, flammable liquids, gases or fireworks
- Hazardous chemicals, corrosive substances
- Currency or high-value jewellery (beyond permitted limits)
- Items restricted by law or by specific postal rules
Always clarify at the post office counter if you are unsure whether a particular item is allowed.
Quick Checklist Before Booking Your Parcel
- ✅ Correct box/envelope chosen for item type
- ✅ Adequate cushioning, especially for fragile items
- ✅ All flaps sealed properly with good tape
- ✅ Receiver address & pincode clearly written and verified
- ✅ Sender address and mobile number added
- ✅ Address slip kept inside the parcel
- ✅ Weight measured and within service limits
- ✅ No prohibited items packed
